NYLXS Borohall Proposal for Free Software


Overview: Borohall Brooklyn is in need of an upgrade in it's computing facilities. It is the objective of the Borough Presidents office to bring to the facility a modern system of groupware services, desktop solutions, internet access, and web services, in the most cost cost efficient possible for the benefit of the tax payer. In addition, a secondary objective of the Borough Presidents office is to involve local Brooklyn businesses, groups and services in this effort.

NYLXS is a Free Software organization which meeting largely in Brooklyn and Manhattan. We propose that in order for the Borough Presidents Office to obtain it's objectives, it needs to use a system which is mostly based on Free Software. Free Software will give the lowest cost of total ownership to the tax payer for the following reasons:

· No per seat Licensing fees
· No upgrade costs
· No need for special Virus software
· Ease of administration
· Ease of upgrade
· Simplified Security
· Infinitely expandable
· Less Frequent Hardware upgrade needed
· Ease of inter-operability
· Better Tech Support
· Proven Software Model
· Built in groupware features


Peter Cotton, the main contact point for the Borough Presidents Office underlined the following
computer needs for the Borough Hall Offices at 802-3900 ext 3759. Jon Bobber, Ruben Safir and Kevin Millani meet for 2 hours with PEter outlining his most basic needs for Borough Hall.

Peter presented the following needs and concerns

Web Server - BH wants to move the Web Services for Borough Presidents office into Borough Hal, and away from the Brooklyn Public Library, as it is presently.

Mail - BH needs to implement a reliable e-mail system. He suggested exchange, but we strongly recommended that exchange is insecure, expensive, and will need huge sums of money spent on tech support and anti-virus software.

Group wide Scheduling Software - BH is looking for a group wide scheduling system. Such a system is not much different than NYLXS's calendering programs.

Final Management Systems
Training - BH is concerned that the new systems will require some end user training. Both NYLXS and Brooklyn Linux Solutions can and will provide inexpensive training for all of Borough Hall



NYLXS Proposed Solutions:

Web Services - NYLXS can install a perfectly adequate and an advanced Apache Web Server appliance which will provide all the needed power and services which the Borough will need. Ruben Safir, as web site developer of Brooklyn on Line, and NYLXS's systems has broad experience with both the type of development which will need to be done, and the level of serves which will be needed to provide adequate services for the Brooklyn Public. A basic Server can be installed and setup on new Hardware for cost of less than 1,100. A system specification such as this one through Brooklyn Linux Solutions is adequate:

Note that hardware pricing can change. In addition, you can expect a $200 fee for setting up the servicer. and further costs from porting the current website and training.

Apache is THE CHOICE for Web services on the internet because it is free, secure, easy to maintain, and is a powerful applications server. The Server should be set up with Apache, modperl, and embperl for a powerful mix services and flexibility which outperforms all closed sourced solutions. In addition, NYLXS graduates through it's education program students trained on this system who can volunteer to help, or be hired for tech support.

Mail - Mail is Free on all Linux systems, secured and without limits. We will setup Sendmail and pop services to all clients connected to the system. In addition, we will setup Secure DNS for mail routing. When users are created, they will be automatically added to the mail system. The system is reliable and easy to maintain.

Group wide Scheduling Software - Scheduling software has been developed from Brooklyn Linux Solutions and we can easily Implement Most importantly about this is that we can extend this system and customize it for the Office, and even other outside contacts which Borough Hall might need to include in their family of friends. We have used this software extensively and found it to be very reliable, and run off the MYSQL database system, making it extremely robust and flexible, yet inexpensive and easy to maintain. NYLXS has a number of qualified people to work with this system. This system can be brought in for the cost of labor to setup, with no licensing fees.

In addition, the evolution mail clients now include hooks for groupware services, scheduling and tasks listings.

In addition to the savings of these system, they will be integrated into Free Software Desktops. These desktops are superior to Microsoft set up in several respects. They are free of licensing cost, nearly virus proof, easy to use and to train on, they are network ready out of the box, and free to upgrade. Borough Hall will have the advantage of being able to choose from 10's of thousands of software package to fill every groupware and computer task, most for for free for now and into the future.

Financial Management Systems - This system will require Borough Hall to provide specifics for before we can lay out a proposal. We should be able to make it work without any trouble.



In addition, NYLXS would like to include the file manager needs of the Office. It is likely that file sharing and transferring will be a part of the eventual internal solution for the Offices.

Linux makes a superb file sharing network system. A computer equal to the Web server should be able to service most of Borough Hall. In addition, we can use in build in VPN solutions to make files and the system available securely to other buildings in the City infrastructure using FreesWan. Setting this up will cost less than $2000 in labor, and no per seat licensing for the server. It functions with Windows clients, as well as Mac Clients and Free Software Clients.
