NYLXS Educational Subcommittee Mailing List

Right here:

Purpose

The GNOME developer's summit will provide a forum for North American
GNOME developers to gather and share ideas and skills among each other
and with other potential GNOME developers.

Organizers Background

The GNOME developer's summit will be organized and supported by NYLXS,
with help from other free software organizations in the New York metro
area. NYLXS has a successful history with organizing free software
events, including several Free Software Business Expo held in
conjunction with CUNY university, month technical lectures, publication
of a quarterly Journal, numerous well attended political efforts for
Free Software, and regular classes
for the public.

Committee

An organizing committee to support this effort has been created and is
composed of the following individuals:

David Sugar Michael Richardson Joe Grastara Joanne Cycmn
Schedule

The event will be held over a two day period in the middle of November.
The exact choice of dates will depend on venue.

Attendance

This event will be open to the public. A web site will be established
for the event and to support pre-registration so that we can better
determine attendance in advance. Will there be any changes to attend?

Venue

The most likely venue will be to use a hall and set of rooms from a
local university, such as CUNY, NYU, or New School. The venue has not
been selected yet. There will be separate rooms available for
individual meetings and BOF's, as well as a room for the conference
proper and for use by speakers, equipped with AV equipment. In
addition, NYLXS can make its own educational facilities available as
needed.

New York City is an ideal location for a Gnome Developers Summit. It's
large selection of extra activities, great cultural centers, and
international venues give the meeting members the largest possible
selection of venues for after meeting activities and access to the world
press. In addition, it has largest selection of sleeping accommodations
and affordable, easy to reach transportation.

Members of NYLXS as very familiar with the City and take great pride in
helping visitors to New York find activities and comforts for their
enjoyment. Our Membership will help pick up visitors at the airports,
and help them find their hotels, organize after our dining at the best
New York restaurants, and be personally responsible for the full
enjoyment of the Summit and the City. Everyone will have the benefit of
an insiders view of the 5 boroughs and everything that this great city
can offer.

Speakers

While there will not be a heavy emphasis on speakers, there will be
some, all of whom are GNOME related. I expect we will have 5 to 6
speakers for the event, all of whom will be housed for free at the NYLXS
"guest facilities". Potential speakers initially include David Sugar, to
speak on GNOME telephony, Janina Sajka, to speak on GNOME accessibility,
and Richard Stallman, to speak on why GNOME.

Workshop

An introduction to GNOME programming tutorial/workshop will be offered
during this event.

Housing

We will locate hotel accommodations that can be recommended to out of
state attendees. This process has not started yet, nor will it until
the venue is finalized.

Sponsors & Costs

The principle issue of cost revolves around the venue finally selected.
At least some local universities may require insurance bonds for the
event. Ideally, it would also be best if we could pay for travel as well
as for housing of our more distant speakers. All of these things would
require additional funding through event sponsors.

Escorts

Volunteers will be provided as escorts to meet people at the airport and
to bring people to and from social events, etc.

Social Events

There will be a GNOME summit dinner, and perhaps some other form of
social event. The exact nature of this, and whether it will be an
additional cost, will largely depend on sponsors.

Requirements

Our principle requirements from the GNOME board is both an official
statement of endorsement for this event, and access to the GNOME
foundation's resources to help us further publicize this event.

Benefits

A chance for US based GNOME developers to gather and plan current and
future GNOME work face to face, and an opportunity to introduce other
developers to the GNOME development community.

What is the GNOME Foundation overview?

Did you send the proposal that went to GNOME to us?

I would say just use and modify the GNOME foundation overview
with changes appropriate for the target audience. Brooklyn
college, if they have appropriate facilities, seems a reasonable
choice to me, especially if we are housing speakers at hotel
ruben :).

I had an interesting talk with Nat this morning...

First, the GNOME foundation can directly subsidize some
of the

cost of the summit, perhaps up to $5000. Ximian may also be
able to provide extra funding directly, particularly for
flying in speakers, although the number of speakers will
remain very limited.

As for attendance, they originally wanted the summit to
be open

only to developers who were already members of the GNOME
foundation. This to me seems stupid. I had a better
suggestion, however; why not charge non-members a nominal
fee, which they seemed very agreeable to. Of course, the
best suggestion of all is why not just open it to everyone?
Well, I will let the various event committee members discuss
this and the different implications of each alternative, and
we will decide.

Basically, they are ready to publicize the event at the
GNOME

sites and with their existing contacts as soon as we select a
venue. We should also setup a web site with basic
information for the event, and they will be happy to host a
mirror of it in gnome.org.

They suggested as a speaker Yuriv, who is responsible
for

directing all SunOffice/OpenOffice development for sun, and
to have him talk about the OpenOffice 2 roadmap, including
GNOME integration. I would love to have him in the same room
with Ruben anyway....that could be most interesting.

They would like a 3 day event, with plenty of time
after hours

for people to meet, to setup bof's, etc. This could be
possible, I think, especially since there is already some
funding available.

Nat's cell number is 617 216 6252.

I think we need to do three things in parellel; one, of
course,

secure the venue, but also, at the same time, we should
prepare the event web page and announcements so that as soon
as we do have the venue we can begin publicizing the event.
Who wishes to take responsibility for creating the event info
page? And third, a mailing list for people attending to sign
up to, although we can get that from gnome.org.

Any questions, issues, problems, etc??

David
